Travel Funding

EDO affiliates may request funding to support travel to highly relevant meetings, conferences, workshops of opportunity, organizations/agencies, or other activities that directly support EDO’s mission of developing new large research projects incorporating planetary, earth, engineering, and optical sciences in partnership with federal agencies, industrial partners, and other universities to advance our understanding of Earth processes and changes. Funding is not intended to support travel simply to present research at major conferences; rather it should incorporate focused meetings on specific topics related to specific proposal opportunities. Applications will be accepted on a rolling basis each fiscal year for as long as budget for this line remains.

Terms and Conditions

  • Amounts from $100 to $3,000 will be awarded to cover travel expenses. Allowable expenses (see State of Arizona Accounting Manual for reimbursable rates) include:

    • Airfare (economy class)

    • Airport parking (economy/off-site) at TIA and transportation to/from destination airport to meeting location

    • Mileage, if travel by car

    • Hotel accommodations

    • Per diem

  • The purpose of the travel must be in line with EDO’s goals of working across disciplines to develop new research projects, partnerships, and proposals linking science, engineering, and optics to study the Earth

  • The purpose of the travel must clearly link to EDO programs/projects targeted to specific funding opportunities, and necessity of the travel to furthering such programs/oportunities must be evident

Eligibility

  • Requests for funding may be made by EDO affiliates

  • Repeat requests in a given year will require greater justification

Evaluation criteria

  • Relevance of the travel to EDO’s overall goals and objectives

  • Extent to which this travel appears critical for establishing key new contacts and collaborations or advancing existing ones in support of specific EDO projects under development

  • Potential of the travel to greatly increase the likelihood of success for a specific proposal

  • Indication of additional sources of support and/or funding for this travel, particularly if the trip will also include other, less-EDO-relevant activities

  • Partial awards may be made based on available funding and how well the request meets the above criteria

Deadlines for FY2019-FY2020

  • Applications will be accepted on a rolling basis until funding is exhausted; a break in funding decisions may occur during September 2019 as EDO budgets change

  • Applications must be submitted at least two weeks before a funding determination is needed to allow review by the EDO executive committee (or a subset)

  • Travel must be completed by June 1, 2020

  • Expenses must be processed within 14 days after the trip is completed

  • Reporting is due 30 days after the speaker visit

To Apply

Prepare the following for submittal on the online travel support request form:

  • Person making the request (name, department, and contact info)

  • Destination: geographic location, and event and/or institution/agency/etc.

  • Purpose of travel: include how this travel will enhance funding opportunities (be as specific as possible)

  • Expected outcomes, follow-up, and benefits to EDO

  • Budget: provide an itemized budget specifying the funding you are requesting, the total expected cost of the trip (if different), as well as any additional funding available from other sources. If other non-EDO-related activities will be incorporated into this trip, additional funding sources will be expected

Reporting Requirements

Within 30 days of the travel, a summary of outcomes and planned follow-up must be submitted via the Travel Funding Reporting Form. EDO appreciates your cooperation in reporting on your activities; this information will be used to demonstrate the successes of the program (and will prevent us from hunting you down at the end of the year). Failure to report may impact future funding decisions.
